Microsoft SharePoint integration

Leebry connects to Microsoft SharePoint Online through the Microsoft identity platform and Microsoft Graph delegated permissions. The integration lets Leebry read and index content from selected SharePoint sites so users can search and work with that content in Leebry.

Before connecting Microsoft SharePoint to Leebry, make sure you have:

• Microsoft 365 tenant with SharePoint Online enabled.

• Leebry account with access to the integration settings in the Leebry admin dashboard.

• Microsoft 365 work or school account that can sign in to the tenant.

• Microsoft Entra user who can grant admin consent for the requested permissions on behalf of the organization.

The connection must be completed by either:

• Global Administrator (recommended), or
• User with permission to add apps and grant the required permissions in Microsoft Entra.

Leebry requires the following permissions to index content from the SharePoint sites you select. All permissions granted to Leebry are read-only.

1. In the Leebry admin dashboard, go to Integrations.

2. In the Microsoft SharePoint tile, click Connect.

   

   Leebry opens the Microsoft SharePoint integration page.

3. Review the permissions requested by Leebry, then click Continue.

   

   Leebry redirects you to the Microsoft identity platform.

4. On the Microsoft identity platform, sign in with your Microsoft 365 work or school account.

   If you're already signed in to Microsoft 365 in your browser, select the account you want to use.

5. Grant consent for the organization or request admin approval.

   If you're an adminIf you're not an admin

   If the signed-in user is a Global Administrator or another user authorized to grant consent, Microsoft displays the "Permissions requested" page.

   The page lists the requested permissions, such as signing in and reading the user profile, reading items in all site collections, and reading files in all site collections. It also explains that accepting the request grants the app access to the specified resources for all users in the organization, so other users won't be prompted to review these permissions.

   Review the requested permissions and confirm that they're appropriate for your organization's policies. Then click Accept to grant consent.

   If the signed-in user can't grant the requested permissions, Microsoft displays the "Need admin approval" dialog instead of the consent page.

   You can return to Leebry without granting consent. Leebry then displays "Couldn't complete Microsoft admin consent" and offers two options:

   • Try again — restart the consent flow with a different account or after an administrator has granted consent.

   • Contact your Microsoft SharePoint administrator — ask an administrator to complete the consent flow so the integration can be enabled for the organization.

6. Select the SharePoint sites you want Leebry to access and index, then click "Start indexing".

   

   Leebry starts indexing content from the selected sites.

After indexing starts, Leebry returns you to the Integrations section. Microsoft SharePoint appears in the list of connected integrations with the Active status. This indicates that the integration is connected and that Leebry is indexing content from the selected SharePoint sites.

You can add SharePoint sites to the index or stop indexing sites that are no longer relevant at any time.

1. In the Leebry admin dashboard, go to Integrations.

2. In the Microsoft SharePoint tile, click More (⋮), then choose Edit.

   Leebry opens the list of SharePoint sites, showing each site's name, URL, and last updated date.

3. Adjust your site selection:

   • Select the sites you want to index.
   • Deselect the sites you no longer want to index.

4. Click "Start indexing" to apply your changes.

Use this option to run the Microsoft sign-in and consent flow again or connect the integration using a different Microsoft 365 account.

1. In the Leebry admin dashboard, go to Integrations.

2. In the Microsoft SharePoint tile, click More (⋮), then choose Reconnect.

Use manual re-indexing when you want Leebry to refresh its indexed content after changes in SharePoint.

1. In the Leebry admin dashboard, go to Integrations.

2. In the Microsoft SharePoint tile, click More (⋮), then choose Reindex.

   Leebry re-indexes all content from the currently selected SharePoint sites.

Deleting the integration:

• Removes the SharePoint connection from Leebry.

• Stops Leebry from indexing content from the selected SharePoint sites.

• Doesn't automatically revoke the app permissions in Microsoft Entra.

1. In the Leebry admin dashboard, go to Integrations.

2. In the Microsoft SharePoint tile, click More (⋮), then choose Delete.

If you reconnect the integration later, you'll need to complete the consent and site selection flow again.

• The integration uses read-only permissions and doesn't write, update, or delete content in SharePoint.

• Admin consent is granted once on behalf of the tenant by a Global Administrator or another authorized user.

• Although the requested permissions are broad, Leebry only indexes content from the specific sites selected during integration setup.
